Aegon Corporate Finance Center seeks a highly professional and experienced Executive Assistant to perform coordinating, facilitating, supportive activities and office duties of a complex and confidential nature to assist the Head of Corporate Finance Center, the Head of Business Analyses and Control and the Executive VP Global Banking in the day-to-day running of the office and execution of tasks.

This is what you will do as an Executive Assistant:

  • Drawing up and editing reports and presentations, either on her own or based on brief instructions
  • Assist in preparation for key meetings through keeping track of the pipeline of agenda topics, communicating with the Executive Board Office, assist in preparation of materials, etc
  • Prepare, compose and administer various kinds of correspondence both internally and externally, send it to the right parties after approval, in order to distribute correspondence in an efficient and effective manner.
  • Store, archive and retrieve documentation and provide other document support services, to ensure documents are easily accessible and can be retrieved quickly by current and future users
  • Take minutes during meetings
  • Proactively handle e-mails on behalf of manager in order to ensure an efficient follow-up of the request
  • Manage sensitive, confidential information with discretion
  • Act as gatekeeper, monitor deadlines
  • Act as point of contact for internal and external stakeholders
  • Handle phone calls and mail. Scan, register, prioritize and dispatch incoming calls and mail, inform appropriate persons, in order to ensure an efficient and effective follow-up of the request.
  • Manage, prioritize and coordinate the diary, make appointments with internal and external parties, monitor compliance to calendar and deadlines, signal and resolve bottlenecks, in conjunction with other parties involved, in order to contribute to an efficient time schedule.
  • Manage travel schedule, book flights and accommodations, ensure the most efficient schedule possible.
  • Plan, prepare and organize internal and external events and meetings and required facilities and collect and distribute all relevant meeting documents beforehand. Communicate with participants before and after the meeting/event as needed.

This will be your future position, because you:

  • have a minimum of  7-10 years’ experience as Executive Assistant in an international corporate setting;
  • have fluency in English and Dutch (both written and oral) and excellent communications skills overall.
  • have a high level of service orientation and integrity; attention to detail; fresh and enthusiastic attitude; and are a champion in promoting a team environment.

  • You will be earning between € 3.000 and € 3.700. You will also receive a thirteenth month and a holiday allowance in the form of a monthly flex budget, amounting to 16.7% of your monthly salary
