Job description

Global HR at Corporate Center seeks a highly professional and experienced Executive Assistant to perform coordinating, facilitating, supportive activities and office duties of a complex and confidential nature. The main focus of the position is to assist the Global Head of Culture, Leadership & Talent (CLT) and the Global Head of Compensation and Benefits in the day-to-day running of the office and their teams. In particular for the CLT-team the role include providing support for ongoing and new projects, .e.g., learning programs, leadership events, executive searches, etc. Next to supporting these two Global Heads and teams, it includes also partial EA support to the Global Chief Human Resources / MB Member for 1 day a week and during holidays of her EA.

The responsibilities will involve:

  • Proactively handle phone calls, and email. Scan, register, prioritize and dispatch incoming calls and mail, inform appropriate persons, in order to ensure an efficient and effective follow-up of the request;
  • Manage, prioritize and coordinate the diaries of the two team leaders, make appointments with internal and external parties, monitor compliance to calendar and deadlines, signal and resolve bottlenecks in conjunction with other parties involved, in order to contribute to efficient and smooth-running time schedules;
  • Drawing up and editing reports, spreadsheets and presentations, either on her/his own accord or based on brief instructions;
  • Manage sensitive, confidential information with discretion;
  • Coordinate executive search activities with external providers and internal parties;
  • Act as gatekeeper, monitor deadlines;
  • Manage travel schedules, booking flights and accommodations, ensuring the most efficient schedule possible (in terms of cost and time);
  • Plan, prepare and organize internal and external events and meetings and required facilities and collect and distribute all relevant instructions and meeting documents beforehand. Communicate with participants before and after the meeting/event as needed.
  • Coordinate all facilities for ongoing leadership program;
  • Store, archive and retrieve documentation and provide other document support services, to ensure documents are easily accessible and can be retrieved quickly by current and future users;
  • Prepare, compose and administer various kinds of correspondence both internally and externally, send it to the right parties after approval, in order to distribute correspondence in an efficient and effective manner.

Knowledge, experience and skills

  • A minimum of 7-10 years’ experience as Executive Assistant in an international corporate setting;
  • Fluency in English (both written and oral; Aegon’s official corporate language is English) and excellent communications skills overall;
  • Advanced digital skills and distinct proficiency with MS office applications (MS Teams, PowerPoint, Excel, Word) are essential.
  • A high level of service orientation and integrity; attention to detail; fresh and enthusiastic attitude; and a can do’- mentality;
  • A champion in promoting a team environment.

Terms and conditions of employment

Job and compensation levels depend upon an applicant’s qualifications including the extent of his/her relevant experience and different job related factors and will be determined by hiring supervisors/managers and HR.
